Live event - CineBistro
Reflection written by using the STARR method
At my study Live Music and Dance Events I have a class called ''career''. During these classes we focussing on becoming a professional in the event sector and improving our skills and knowledge. For this assignment we had to form groups to create a live event. We did not have any strict restrictions besides the deadline and had all the freedom to create something that we would like to see and create.
The live event had to take place between November 4th and December 13th. This could range from things like a backstage tour, guest lectures or fieldtrips etc. It was mandatory to do research, work in a group effort and involve 2 people or organizations from the field. Something I found quite hard was finding the people from the field an deciding on what to actually organise.
My group and I did research on what students would like to experience by sending out a survey and came up with a backstage tour in Amsterdam by visiting Ziggo Dome and Melkweg for example. One of the team members got contact information to maybe make this happen. This is a moment were our group communication failed. Some of the group member were sick and when the contact information got shared on the teams channel we understood that there was already e-mail sent out to the person. After asking if we already received any responses it became clear that no one send an e-mail. It was also implied that one of the Dutch students should have sent the e-mail since it was for a Dutch company. I responded quite harshly on this by saying that google translate exists and it also wouldn't be a problem to send a mail in english. After the second career class we also found out that most people planned on doing a backstage tour and we decided to differ ourselves from the rest. We had a brainstorming session and eventually came up with a movie and dinner concept. We first wanted to watch a movie like ratatouille and create the same foods as in the movie but this was too hard with no professional kitchen and screens.
A big struggle was the location we tried school which was alright for the movie so the food became an issue. The teamwork was really Helpfull because we decided to contact Goedzooi. Goedzooi is a creative agency with an office in breda, we remembered that they had a big space with a projector and a kitchen. I contacted Elias Huwaë to see if we could maybe use their space.
Luckily Goedzooi was very excited about our idea and they said we would be allowed to use their office.The result of this work is CineBistro - a movie and dinner night. We decided on the movie WALL-E, since we misunderstood and tought trends and developments had to be implemented. This actually was not the case but we decided to still choose it as we all tought the message behind is a good one. It showcases that actions have consequences, especially our environmental choices and impacts. For the food we had a 4 course meal all prepared by us and al vegetarian to connect to the message of the movie. before the movie started we had Elias Huwaë and Mitch van Veldhoven introduce Goedzooi and talk about what they do. There where 10 people who signed up for our event with a fee of €5 per person. In the end only 6 people showed up to our event which was actually a good learning moment.
Looking back on the miscommunication we all could have been more pro-active and communicated a lot better in the group at that moment. My reaction to the message ''a Dutch student should have send an e--mail'' could have been a lot more professional and in the future I will stop and think before reacting. Overall I think the communication in the group was good and especially very clear. We divided tasks by looking at skills and helped each other where needed. By using Goedzooi as our location we introduced the event sector to other people attending and created new connections or improved the connections that where already made. A big learning moment was when 4 people who signed up did not attend. Since they signed up we calculated €20 in the budget and prepared food for them. We decided to let the people pay when they got to the event but have now learned to not do this. In the future I would already make the people pay buy selling the event through a ticket website and would ask them to inform when not being able to attend. Overall I am happy that this happened due to now understanding better as to why this is so important. Since it now wasn't a lot of money but if it was more it of course makes you lose profit. I also realised that you should always get more products than estimated in this case the product was food and if the 4 other attendees did show up we would not have had enough. So always calculate more than you will actually need. In the end I am very happy and proud of how the event turned out and that we used our network to achieve it. This was a fun and interesting assignment wich gained me more helpfull insights in to organising.
